The Organisational Structure
The reference centres which all leaders
must take into account for welcoming are as follows:
1) Rome
Co-ordinating Centre 2) Zone
Co-ordinating Centre 3) Parish
Secretariat
The Rome Co-ordinating Centre manages the welcome
organisation and keeps contact between the Italian Committee for GMG 2000 and the diocese
of Rome. All information on the GMG 2000 reaches the Coordinating Centre,
and it is the co-ordinating centre which must organise and support welcome activities
in the various centres (collecting all data on reception levels, checking resources of
every centre, information on distributing meals, specifying places for catechesis and
Youth Meeting Points). The office includes people working for the Italian Committee for
GMG 2000. Assigning accommodation, welcoming and confirming registrations should
only be reported to the Zone Co-ordinating Centre via the Rome Co-ordinating Centre.
The Rome Coordinating Centre must check the suitability of places which are
available with any integration of toilets and necessary showers (in proportion to the
number of young people who will be guests) in co-operation with the civic authorities.
The Rome Co-ordinating Centre will ask the Voluntary Centre for a sufficient
number of voluntary workers for each accommodation place. Priority will be given to Rome
voluntary workers who already live in the area.
All places which will be used (parishes, Religious Institutions, schools,
etc.) will be previously vetted by voluntary GMG people, and they will be subsequently put
back in order by them so that every place will be left exactly as it was found.
The Zone Coordinating Centre refers
to a welcome zone (that is one of the 27 missionary zones in Rome), keeps contact between
the Rome Co-ordinating Centre and the parish secretariats. This will be the place where
welcome information will be handed out to each parish and will also handle any
requirements which arise or may arise (referring to the Rome Co-ordinating Centre or
directly resolving problems whenever possible) in the Parish Secretariats.
Currently the Co-ordinating Zone Centre has one or more persons in charge for prefecture
youth pastoral work (according to the reference missionary zone) and a zone co-ordinator.
As suggested, a zone co-ordinator to set up his or her secretariat should
refer to a very active parish. In addition the co-ordinator should have quick information
channels between himself or herself and the people in charge of the Parishes.

The Parish Secretariat is a secretariat which knows the
position and location of all places where pilgrims will be guests (parishes, Religious
Institutions, public and private schools, families) and will have to co-ordinate welcome
arrangements in the parish district by keeping in contact with the people in charge of the
welcome centres and with guests during the GMG 2000. In addition, it will hand out
information to assist in getting the best out of the event. Currently, every Parish
Secretariat should be composed of local people responsible from the parish for the GMG,
and include people responsible for Catholic Schools and Religious Institutions (the Rome
Co-ordinating Centre must be informed about the people in charge).
Immediate
Tasks:
Creating
a parish map highlighting:
the catholic welcoming places (catholic schools, religious institutions,
Pontifical Universities, Seminaries, gym halls, etc.), state schools (nursery, elementary,
primary and secondary schools, Universities), sports grounds, public parks (to be used
either for Meeting Young People or for tent cities) and area public services (e.g.
telephone booths, hospitals, etc.);
Setting
an events calendar to link the Parish initiatives on the Jubilee to the specific
initiatives for GMG 2000.
Preparing
an information desk on GMG (a programme on the Days, an update on the number of pilgrims
who to date can be accommodated in the parish district, a list of places where there is
accommodation, a list of families who can welcome guests).
This information desk became functional starting from October 1999.
Preparaing
the Diocese Information Day on GMG which took place on Sunday 17 October 1999.
Giving
information on Rome voluntary workers and on hospitality within families.
Registering
for the volume of tents which could be loaned to host young people in open air places
within the parish district.
Involving
Religious Institutions and Catholic Schools in the parish district: some of them have
appointed a welcome person to report to. This person must be informed on the
initiatives decided on for GMG 2000 (one could check their availability to cooperate with
the parish secretariat). However, it is important to update both the Institutions
and the Schools in the district on the various welcome initiatives proposed.
